Privacy policy

This policy explains how The Magic Circle (“we”, “us”) uses personal information in The Magic Circle Rota, the system we use to schedule staff for performances.

Information we hold

• Your name, email address and, if you add it, your phone number.
• The staff roles you can work, and whether you have producer access.
• Your availability for each performance and any notes you add.
• The performances and roles you are assigned to.
• If you link Google Calendar, a secure connection to your calendar and a record of the events we have added.

How we use it

• To plan the rota and assign staff to performances.
• To email you when you are added to or removed from a performance, or when a show is cancelled.
• To send account emails such as your welcome and password-reset links.
• If you choose to, to keep your Google Calendar up to date with rota events.

Who can see it

Producers can see staff details, availability and assignments so they can build the rota. Staff can see their own details, availability and assignments. We do not sell your information or use it for marketing.

Google Calendar

Linking Google Calendar is optional. We only create, update and remove the rota events we add; we do not read your other calendar entries. You can disconnect at any time from your Profile page, which removes the events we added.

Service providers

The rota is hosted and run with the help of third-party providers, including our hosting and email delivery providers and, if you link it, Google.

How long we keep it

We keep your information while you are on the rota. Ask a producer if you would like your account and information removed.

Your rights

You can update your details on your Profile page at any time. To ask for a copy of your information, a correction or deletion, contact The Magic Circle.
